Task Management

The Task Management module allows you to centralize, assign, track, and complete compliance-related tasks efficiently. It ensures accountability by assigning ownership, setting deadlines, and monitoring progress.


Accessing Task Management

  • Navigate to the Task Management option in the left-side navigation menu.

  • The main screen displays a list of tasks with details such as:

    • Task Title

    • Cadence (Frequency) – e.g., ONCE, WEEKLY

    • Creation/Due Dates

    • Task Status – e.g., Active, Overdue

  • You can use the Search Task bar to quickly find a specific task.

Viewing Tasks

  1. From the list of tasks, select View Tasks to see all task details.

  2. The task list view shows:

    • Task ID

    • Assigned To (email of the responsible user)

    • Assigned By (creator or delegator of the task)

    • Start Date & Due Date

    • Task Status (e.g., Overdue, Completed, Active)

Task Details

Clicking on the 3-dots/ ellipsis against a task opens a detailed view that includes:

  • Task Title & Status (e.g., Test Task 4 – Overdue)

  • Completion Options:

    • Attach File / Upload Document as evidence of completion.

    • Cancel Task if it’s no longer needed.

    • Mark as Complete once the task has been fulfilled.

  • Task Detail Section

    • Task Title - Title given to the task
    • Task Priority – LOW, MEDIUM, or HIGH.

    • Description – additional notes or clarifications.

    • Compliance Rule – references to the compliance rule that the task supports.

    • Start Date – when the task begins.

    • Assigned By – the person who created/assigned the task.

Evidence Upload

    • Users can upload supporting documents (e.g., reports, audit logs, or proof of compliance).

    • Accepted file types: .pdf, .docx, .pptx, .csv, .zip, .xlsx, .json.

    • Evidence ensures proper compliance tracking and audit readiness.

Assigning and Delegating

  • Tasks are assigned to specific users based on their roles.

  • The Assign To and Assign By fields make responsibilities clear.

  • Managers can monitor accountability and performance through overdue or completed statuses.

Completing a Task

To complete a task:

  1. Open the task from the Task List.

  2. Review the compliance rule and details.

  3. Attach/upload any required documents as evidence.

  4. Click Mark as Complete.

  5. The task status will update to Completed.

Best Practices

  • Regular Monitoring: Check overdue tasks regularly to prevent compliance gaps.

  • Evidence Upload: Always attach supporting files to completed tasks for audits.

  • Use Cadence Wisely: Align task frequency with compliance requirements (e.g., annual audits vs. weekly reports).

  • Collaboration: Assign tasks clearly to responsible team members with the right permissions.
