User Management

The User Management section allows administrators to manage users, their roles, and permissions across different compliance modules

Key Features

  1. View Users

    • Displays a list of all users with details such as:

      • First Name & Last Name

      • Email

      • Assigned Module(s) (e.g., Beyond Compliance, Risk Monitoring)

      • Role(s) (e.g., Compliance User, Beyond Cash Admin)

      • Status (Active/Inactive)

  2. Search Users

    • Use the Search bar to quickly locate a user by name or email.

     

Invite New Users

    1. Click the + Invite User button to add new team members.

    2. Fill in:

      1. First Name

      2. Last Name

      3. Email

      4. Roles (select from predefined roles based on system permissions)

    3. Click Invite to send an invitation.

    4. Active users are shown with a green dot and marked Active.

    5. Inactive users are shown with a red dot and marked Inactive.

       

Managing Users

Editing or Removing a User

  • Use the three-dot menu () next to a user’s name for actions like:

    • Editing user details

    • Changing role assignments

    • Deactivating or removing a user

Assigning Roles

  • Roles align with modules (e.g., Beyond Compliance, Risk Monitoring, General).

  • A single user can have multiple roles spanning across modules.

Roles & Permissions 

1. Creating a New Role

    1. Navigate to User Management → Roles & Permissions.

    2. Click New Role.

    3. Fill in the required fields:

      • Role Name → Enter a descriptive name (e.g., Compliance Officer, IT Auditor).

      • Module Access → Choose the module(s) the role applies to (e.g., Beyond Compliance).

    4. Click the + (Add Permission) button to configure permissions.

Setting Permissions

When setting up permissions, you can define what the role can access within the selected module.

Available Permissions (Example: Beyond Compliance Module)

  • Task Management → Grants access to create and manage tasks 
  • Dashboard → Grants access to compliance dashboards.

  • Requirement → Controls ability to view and manage compliance requirements.

  • Metrics → Grants access to the metrics library.

  • Document Library → Allows access to uploaded compliance documents.

  • Custom Framework→ Allows access to create custom framework.
  • Report Management → Controls ability to access and manage compliance reports.

  • Data Management→ Allows access to upload and manage datasets on the compliance platform 

Steps to Configure Permissions

  1. For each section (e.g., Dashboard, Requirement, Metrics, etc.), click the Access level dropdown.

    • Options typically include:

      • No Access → User will not see the option/ does not have access to this feature

      • Read Only → User can see but not change.

      • Editor → User can view, create, and edit.

  2. Once all permissions are configured, click Save Permissions.

Applying Roles

  • Once a role is created, it can be assigned during User Invitation or updated later for existing users.

  • A single user can hold multiple roles across different modules.

Best Practices

  • Granularity: Create roles tailored to specific job functions (e.g., Compliance Reviewer with view-only access).

  • Segregation of Duties: Avoid granting conflicting permissions (e.g., the same user both preparing and approving compliance reports).

  • Periodic Review: Regularly review roles to ensure access levels remain aligned with responsibilities.

  • Least Privilege: Always start with minimum necessary permissions and expand only as needed.

Example Workflow

  1. Create a new role: Compliance Analyst.

  2. Assign Module Access → Beyond Compliance.

  3. Configure permissions:

    • Dashboard → View Only

    • Requirement → Full Access

    • Metrics → View Only

    • Document Library → View Only

    • Report Management → No Access

  4. Save role and assign it to new compliance team members during invitation.
